Guidelines for Community Groups using the SPCO Zoom Business account
(Zoom Meeting and Zoom Webinar)
The Social Planning Council of Ottawa (SPCO) is pleased to share access to our Zoom Business license in order to support community groups in their community planning endeavors and meetings. The license includes Zoom Video Webinars.
The Business license allows for:
- Hosting up to 300 participants (500 participants for Webinars)
- Unlimited length of meetings
- Features including: Telephone dial-in, screen sharing, recording of meetings, whiteboarding, breakout rooms, and language interpretations.
- Zoom Webinars is also available. (for more information see: https://zoom.us/webinar)
We will accommodate requests when possible but cannot guarantee that will have the capacity to support all requests.
Please also note:
- Timeslots will be available on a first come, first served basis.
- If meetings are recorded, the recordings will be saved in a shared cloud.
- Please limit your meeting to your scheduled time, as another meeting may be occurring immediately afterwards.
- Please ensure you follow Zoom’s rules and regulations, and familiarize yourself with Zoom’s privacy policy.
- All meetings will be set with a password. A waiting room is optional.
We can offer some limited support on using Zoom and its features, if helpful.
To request a booking:
Please email: office@spcottawa.on.ca with:
- The date, time and length of your meeting,
- Contact information for the meeting host (name, an email address, and the name of the community organization, if applicable)
- If you require additional supports for this meeting, such as technical assistance, please let us know (subject to capacity).
- If you are booking a Webinar, rather than a regular zoom meeting, please specify at the time of booking.
We will then confirm that your timeslot is available and send all relevant information, such as the link and password. Please wait for confirmation before promoting your event or meeting.
